We are committed to protecting your privacy and you feeling safe and secure in all the ways you engage with Human.Kind. At all times we aim to respect and keep safe any personal information you share with us, or that we receive from other organisations.

This policy maps out our commitment to you and describes how we collect and use personal information about you during and after your relationship with Human.Kind. This Privacy Policy applies to all prospective, current and former members, casual class students, therapies clients, event attendees, volunteers/ work exchange and employees of Human.Kind.

Data collection

We only collect data where it is essential to better serve you as a member, student or client. The provision of your personal information to us is voluntary. However, without providing us with your personal information, your use of our services or your interaction with us may be impaired.

The personal data we gather, with your consent, is as follows:

  • Email

  • Phone number

  • Address (optional)

  • Emergency contact (optional)

  • Gender & Pronouns

  • Stored payment details upon booking classes (card or account- becomes encrypted and only partially visible upon confirmation) 

  • Purchase and practice history

  • Client notes (therapeutic appointments)

The information we gather is only for the following purposes:

  • Contact

  • Class/ appointment bookings

  • Marketing - i.e. Notifying members of studio news and upcoming events (opt out provided)

  • Membership payment processing

Disclosures and third parties

We only store data in systems that are essential to our operations. Third party systems we use are:

  • Momence (core and movement CRM)

  • Cliniko (therapies CRM)

  • Customer payment data syncs into Stripe, Xero (only name and payment data)

  • Reminders sent through Peptalkr

Access to these systems is strictly managed, and only extended to current Human.Kind administrative staff, specifically aligned to their role and responsibilities. The Cliniko and Momence systems are autonomous and data is not shared between them. Only relevant therapies staff have access to the Cliniko CRM, with access to clinician notes carefully controlled.

Marketing

We may use your contact details to provide you with information about our work, community, events, services and/or organisational updates which we consider may be of interest to you. These marketing actions are through the following systems:

  • Email transactional (Momence and Cliniko)

  • Email marketing (Momence)

  • SMS (Momence)

  • DMs (Human.Kind web app)

Within Momence any user may update their preferences to unsubscribe from marketing contact at any time. Any user may leave or turn off notifications within the the Human.Kind web app at any time.

Therapies clients can elect in Cliniko to only receive appointment correspondence, opting out of any further correspondence. The Cliniko CRM is not currently used for any marketing correspondence.

Cookies

We may use cookies to distinguish you from other users of our website. This helps us to provide you with a good experience when you browse our website and also allows us to improve our site. A cookie is a small file of letters and numbers that we store on your browser or the hard drive of your computer if you agree.

We may use the following types of cookies:  

Strictly necessary cookies – These are cookies that are required for the operation of our website. They include, for example, cookies that enable you to log into secure areas of our website or make a donation.  

Analytical or performance cookies- These allow us to recognise and count the number of visitors and to see how visitors move around our website when they are using it. This helps us to improve the way our website works, for example, by ensuring that users are finding what they are looking for easily.  

You can block the use of cookies via your search engine privacy settings.  

We do not use cookies for marketing or remarketing purposes.

Photo and video

On occasion, we may photograph or film classes, events or in-studio activity. On these occasions we will inform all attendees to those classes or events ahead of time so they give their permission for use of photography or videography in attending those events.

Some users may also be invited to share their stories with us for marketing. This is only on an opt-in basis where the user is a co-creator in their storyteller with clear permissions.

Any user may ask for their photo, video, story or reference to their name to be removed from the Human.Kind website, web app, instagram and storage at any other time. If you wish to have anything removed, please contact hello@humankindstudios.com.au.

Access and complaints

Users can access their data, request corrections, or make a complaint at any time. We offer the following options to stay in control of your data:

  • Patient history can be collated through Cliniko and downloaded and sent to authorised persons (i.e. client, designated health practitioners, legal representatives)

  • Momence data is fully viewable through client portal on app, with personal information directly editable

  • For membership, appointment or more complex personal information alterations, direct email to hello@humankindstudios.com.au or calling the studio on 82312983 will result in action being taken

Personal property

Human.Kind is not responsible for lost personal property including shoes, clothing, water bottles, mats and any other personal belongings. We aim to keep lost property for a short period of time, after which it is recycled, sent to second hand shops or repurposed. Members may access free mat storage at either studio. A clearly labelled name tag is required.
